Standard Mobile Notary Checklist

1. Valid Identification (Must Be Unexpired)

Every signer must present a physical, original, and government-issued photo ID at the time of signing.

Acceptable IDs: Texas Driver’s License, State ID Card, U.S. Passport, Foreign Passport (stamped by US CIS), or Military ID.
Important: Expired IDs cannot be accepted by law unless they meet strict state renewal criteria. Name on the ID must match the name on the document.

2. Document Preparation

Do NOT Sign or Date Documents in Advance: All signature fields and dates must be executed directly in front of the notary.
Complete All Blanks: Documents must be fully filled out before the notary arrives. Notaries cannot advise on or complete legal form fields for you.
Bring the Complete Document: Ensure all pages, exhibits, and attachments are present—even if only one page requires a signature stamp.

3. Witnesses (For Estate Planning & Medical Documents)

Check Your Document Requirements: Power of Attorney, Wills, and Healthcare Directives often require 1 to 2 independent witnesses in addition to the notary.
Witness Qualifications: Witnesses must generally be 18 or older, mentally competent, not related to you by blood or marriage, and not named as beneficiaries in the document.
Need Witnesses Provided? If you cannot provide your own disinterested witnesses, please inform us when calling or texting so we can arrange them.

4. Payment & Meeting Location

Meeting Space: Choose a quiet, well-lit area with a clean table surface suitable for reviewing and signing legal documents (home, hospital room, office, or coffee shop).
Payment Ready: Confirm acceptable payment methods (cash, card, Zelle/Venmo) prior to the appointment.

Special Checklist for Hospital & Bedside Signings

Patient Alertness & Willingness: The signer must be fully conscious, alert, and aware of what they are signing.By law, a notary cannot proceed if the signer is heavily medicated, confused, or unable to communicate.
Valid Identification: The patient must have a current, government-issued photo ID (Driver’s License, State ID, or Passport). (Note: If the patient's ID is missing or expired, call or text us before the appointment to discuss Texas credible witness guidelines).
Hospital Staff Cannot Act as Witnesses: Family members often assume nurses or facility staff can witness legal documents, but almost all healthcare facilities prohibit employees from signing.
Disinterested Witnesses Required: For Medical Powers of Attorney, Wills, or Directives, Texas requires independent witnesses who are not related, not named in the document, and not benefiting from the estate.
Room Details: Please provide the hospital name, facility address, tower, and room number so our mobile notary can check in efficiently.
